GENERAL INFORMATION

No, Transport, like the other services of the APEEE Services, is not managed by the school.
We work closely with the school but have separate management systems (database, enrolment system,...) - the information provided to the school may be important for Transport.

You have two possibilities:

  1. Contact the Transport Service directly, indicating in your email your address and the school site concerned by your request (Uccle and/or Berkendael). Our email addresses are transport@apeee-bxl1-services.be and transport.berkendael@apeee-bxl1-services.be 
  2. Request a privileged access to our secured page of the bus routes.

The procedure to access the secure bus routes page is different from the one to access your account and your orders (via the "My account" button at the top right of this site).
You must create an account to access it via the "request privileged access" tab.

You will then receive an automatic email that will allow you to configure your password (you can obviously choose the same as for your account if you wish) in order to be able to reconnect to this page later.

We remind you that changes are sometimes made to the tours and that the files on this information page are not updated every day. We therefore advise you to always double-check with the members of the Transport team in parlicular if the last update date on the document is very far from the current date.

We also remind you that if you want to check the schedule at your stop, it is more convenient and reliable to go directly to your account to access your personal transport order.

BUS CARD

Each year, after the autumn holidays, Transport generates the bus cards for each child (about 3500 cards) and they are distributed on the buses by the supervisors.

Your child, unless he/she is in nursery or P1, must come to the office with 2.50€ and Transport will reprint a bus card for him/her which will then be given on the return bus by the supervisor.
For kindergarten and P1 children, parents must write an e-mail to the transport office (transport@apeee-bxl1-services.be for Uccle or transport.berkendael@apeee-bxl1-services.be for Berkendael) and then make a transfer of 2.50€ to the transport account - BE77 3100 8642 2642 - indicating in communication: BUS CARD + NAME + First name of the child. The card will then be handed over on the return bus by the supervisor.

In this case, you have to send an email to the transport (transport@apeee-bxl1-services.be for Uccle, transport.berkendael@apeee-bxl1-services.be for Berkendael) and the transport will look into the reason. Once the card has been generated, it will be given on the return bus by the supervisor.

BUS CHANGE(S) REQUEST(S)

Pupils are only allowed to change lines punctually, regularly or permanently on the written request of their parents:

  • by means of a note in the pupil's diary and presented to the Transport Service office, which must stamp it for approval.
  • by sending an email followed by a positive response from the Transport Service.

These requests must be sent at least 48 hours in advance to the Transport Office. The Transport Service will give its agreement within the limits of available places.

Each child can take a maximum of 3 different buses.
Alternating custody is not included in this account.

In order to avoid any problems, it is imperative to inform Transport of your future move at least 15 days before the effective date of your move. This will allow Transport to ensure that a place is available on the bus that leaves your area, to inform the drivers and supervisors concerned and to modify/create a stop if necessary and as far as possible. 
In case of moving, parents are asked to change their address in their family account on the registration website.

When registering, as you can choose the return for each day, you only need to choose the days when your child will have to go to the garderie and those when he/she will have to go home.
You can of course change this during the year, but only by e-mail (transport@apeee-bxl1-services.be for Uccle or transport.berkendael@apeee-bxl1-services.be).

PARENTS' CONTACT DETAILS

Transport must be able to contact you at any time, whether it is to warn you of a problem in general (bus delay,...) or concerning your child (he/she has missed the bus for example).
Moreover, in case of delay/not running/accident, the Transport sends an sms to all parents of the concerned bus.
Please note that our sms database only accepts Belgian numbers in the format +324xxxxxxxx

Due to the DGPR, Transport cannot change your personal data (address, phone numbers,...) without your consent.
For this reason, Transport invites all parents to check their data regularly and to update them. In case of a change in your order by a member of the team, Transport will send you an email asking for your permission to modify your personal data.

FEES

There are two types of season tickets:

  1. Full price for children who take a bus home in the morning and/or evening
  2. The half price pass for children who ONLY take the bus to an OIB nursery.

The cost of a tour is largely related to fixed costs that are independent of the number of children actually on the bus: cost of the driver, energy, maintenance, supervisors (pupils and/or adults), permanent service staff. The only variable really related to the number of children is the capacity of the bus. Nevertheless, even if a child theoretically takes the bus only a few times a week, the transport service must provide a bus of sufficient capacity to accommodate all the children registered for that round at any one time.

The subscription price for the school year 2023/24 is 2.550,00€*, to be paid in 3 instalments:

  • 1095,00€ for the 1st term (547,5€ garderie only**)
  • 640,00€ for the 2nd term (320€ garderie only**)
  • 815,00€ for the 3rd term (407,5€ garderie only**)

Of course, when you register, the price is calculated on a pro-rata basis for the current term.

Please note that if your child has stopped taking the bus/never took the bus, you will be charged for transport until the date of receipt of the cancellation email.

* The amount was revised a first time in December 2023 following actual results for the first quarter and then a second time in April 2024 following actual results for the second quarter.

** Only children taking the bus ONLY to an OIB nursery (Wilson, Cole, Van Maerlant, Baernepark, Berkendael) benefit from the 50% discount.

With some exceptions, all nursery school children must pay for their subscription.
For primary and secondary school children, it depends on your employer. If you are an EU official and your child is in primary or secondary school, the cost of transport is covered by your employer.
Ask your HR department if you are unsure.

As the beginning of the school year is a very busy time for transport, your order for the first term will be put "on hold for payment" during the first two weeks of September.
You then have a fortnight to pay for the bus for the first term.
For the 2nd and 3rd term, payment requests are sent at the beginning of each term.
Please note that if your child has stopped taking the bus/never taken the bus, you will be charged for the transport until the date of receipt of the cancellation email.

A 1st reminder will be sent to you 15 days after the request for payment and a "2nd and final reminder" will be sent to you 15 days later.
Without payment for your child's transportation within 15 days of receiving the "2nd and final reminder", Transport reserves the right to refuse your child transportation until full payment is received.

If you are a contract agent, temporary agent, official at the Commission or EEAS and your child(ren) attend the European primary or secondary school, you must submit a declaration of schooling for your child(ren) via SYSPER each year at the beginning of the school year in order to be eligible for the Commission/EAS transport pass.
Any change of institution and/or status must be communicated to Transport as soon as possible.

Parents can register throughout the school year.
Please note, however, that the bus routes are adapted each year during the summer holidays (July and August) and it is sometimes impossible to bring a stop closer to a parent who has registered later.
Furthermore, Transport reserves the right to refuse an application if the bus chosen by the parents is full.
For payment, the subscription price is then calculated on a pro rata basis of the days remaining in the current term.

It is possible to cancel a subscription at any time but the cancellation is only taken into account on the date of receipt of the cancellation email.

Consequently, if you have registered your child but have decided that he/she will not be taking the bus, the subscription will remain due until you receive the cancellation e-mail.

PROBLEM MANAGEMENT

In case of delay, you can reach the transport on the general number: 02/374.70.46, press "1" to reach Uccle and "2" to reach Berkendael.
Transport is available every Monday, Tuesday, Thursday and Friday from 7 a.m. to 5.30 p.m. and on Wednesday from 7 a.m. to 2 p.m.
In the event of a major delay, Transport sends a general text message to all parents of the bus in question.

If it is the morning journey, the pupil must come to school by himself.

If it is the afternoon journey and if possible at the time of departure, Transport calls the parents to offer to put the child on a bus passing near the stop and which has not yet left the school.

If not, parents are asked to come and collect their child from the transport office within a reasonable time.

The supervisor calls Transport who in turn tries to contact the parents.
If Transport is unable to contact the parents, the child remains on the bus and Transport sends an email/text message to the parents.
When Transport manages to contact the parents, a meeting point is fixed with the parents.
If Transport is unable to contact anyone, the child will be taken back to school where the child will have to be collected.
If the parents do not react, the child will be taken to the police as a last resort.

ENROLMENTS

Registration is done via the APEEE Services website during the whole school year.
For new parents, it is advisable to register their children as soon as possible, especially if there is no stop near their home. In this way, transport can analyse the possibility of creating a new stop according to the new registrations and integrate it into the routes for the following school year. If the enrolment and the request for a stop arrive later in the year, it is sometimes more difficult to integrate the new stop into the tour.
At the end of each school year, children registered for transport are systematically re-registered for the following school year. Parents then receive an e-mail asking them to validate or not their personal data and their child's order.

Unless the Transport Service sends a message to the contrary, your child can start using the bus from the first day of use indicated at the time of registration.

As the start of the school year is one of the busiest times for transport, we ask you to wait one week before reiterating your request.
If, despite this, you have not obtained your stop, you can send an e-mail by 1 October so that your request can be analysed by the Management Committee. The final decision is then taken by the administrators.

To allow your child to take a bus to go to mum's and a bus to dad's, it is imperative that :

  • shared custody must be ticked "yes" on your child's form.
  • create a "mum" profile and another "dad" profile

Once this is done, you can create an order for each parent.
Please note that you must choose the parent concerned by the order each time.

Transport systematically refuses permission to get off the bus alone for children in kindergarten and P1 and systematically gives permission to get off the bus alone from S2.
Parents can therefore give/refuse permission to get off the bus alone from P2 to S1.
Parents can also give permission to a child of age to get off and not to a younger child. In this case, the younger child can get off with his/her older brother/sister, but if he/she is on his/her own, an adult will have to come and pick him/her up at the stop.

Each year, registrations are renewed for the following year.

You must then check your details and validate them for your order to be taken into account.

If you have not validated your order once you have received the email asking you to validate your data, your order is put "on hold".
You will receive a reminder e-mail asking you to connect to your account and check your data.
If you are unable to do so, you can either send an e-mail (transport@apeee-bxl1-services.be for Uccle or transport.berkendael@apeee-bxl1-services.be for Berkendael) or call the transport service on 02/374.70.46 (type "1" for Uccle and "2" for Berkendael).

When you create an order, it is automatically put in "pending processing".

This is also the case when you have checked your order as "awaiting validation".

The Transport then sees your order, can check it and change its status to the next step.

Once Transport has checked your order, it is "in process".
During the summer holidays, orders remain "in process" until the day before the start of the school year when the timetables and bus numbers are updated.

It is therefore imperative that all parents check their order(s) the day before the start of the school year to ensure that the bus stop, bus number and timetable are correct.

The day before the start of the school year, when the timetables of the lines and the bus numbers are updated, Transport places all the orders in "processed". This means that your child(ren) can start using the bus service.

It is therefore imperative that all parents check their order(s) the day before the start of the school year to ensure that the bus stop, bus number and timetable are correct.

For parents whose employer does not pay for their bus pass, a request for payment will be sent to them at the beginning of each term.

Please note that children in this case can take the bus as soon as the school year starts even if the payment request has not yet been sent by the service or the service has not yet been paid.

SUPERVISION

In Uccle, supervision on the "homeward bound" buses is carried out by pupils of 5th, 6th and 7th secondary.
At the end of each week, the student supervisors receive a questionnaire to fill in to indicate whether they will be present the following week, specifying each day (morning and/or evening).
After analysing the answers, the Transport staff tries, as far as possible, to fill the absences with "flying" adult supervisors.

In Berkendael, supervision is provided in the morning and evening by adult supervisors and when a supervisor is absent, he/she is replaced as far as possible.

Supervisors (students and adults) use their private telephone, therefore Transport will not give out their telephone number under any circumstances. The same applies to drivers.

In case of questions, problems or changes, parents should always contact the Transport department:

The service is open from Monday to Friday from 7 am to 5.30 pm, except on Wednesdays when it is open until 2 pm.

In general, it is a good idea to always inform Transport to avoid problems.

However, if your child is in secondary school, it is not obligatory to inform Transport unless your child is the only child at that stop.
On the other hand, for the youngest children in primary and nursery school, it is imperative to inform: their teacher (via email or the diary), the Transport service and other services if relevant (OIB, extra-curricular activities, etc.). 

We also ask parents to always write in FR or EN in their child's diary as in case of doubt the Transport department may have to check the diary and our staff may not speak the other languages of the school.

Of course, you can always inform the supervisor of your child's bus verbally, but you must also send an e-mail to Transport.
This way, if the supervisor is absent, the substitute will also be informed.

BUS USE

In order to ride the bus, your child must have an order in his/her name registered with the Transport Service.

Once your order has been set to "treated" or "pending payment" your child can begin using the service. If your child arrives during the school year, we also recommend that you send an email to transport@apeee-bxl1-services.be or transport.berkendael@apeee-bxl1-services.be to inform our service of the actual date of commencement of use. This is so that we can inform the team on board and thus avoid mistakes.

No adults other than the driver and the adult supervisor are allowed on the bus.
Nevertheless, the transport can derogate from this rule in 2 cases:

  • Either the parent is accompanying a school outing and in this case, he/she can take the bus free of charge. Please note that the request must be made at least 2 days beforehand in order to check the available space on the bus.
  • Or the parent is a teacher and must take the bus for an exceptional reason (car breakdown,...). In this case, the parent must buy a ticket (8€/journey).

In both cases, the parent can only take the bus with the written authorisation of the Transport.

Only children enrolled in the OIB nursery can take the bus to the nursery.

However, there are usually stops close to the garderies for interested parents.

It is requested to be at the stop at least 5 minutes before the official time. This is because the time communicated is the time at which the bus must leave its stop in order to respect its timing and the schedule at subsequent stops (subject to normal traffic flow).

By being present at the stop in advance, users can board the bus with peace of mind when it arrives and allow a smoother journey for all users of the line.

We would also like to remind you that the timetables at the beginning of the year (especially for new routes) are purely theoretical and must therefore be adapted to the traffic. 
It is therefore possible that the timetable of your bus will be adapted during the year.

If your child is not registered with Transport but nevertheless needs to take the bus exceptionally, you must request authorisation by e-mail from Transport who will analyse the possibility of adding a new child (number of places, stop, etc.).
Once you have received a positive written reply, there are two possibilities

  1. make a transfer of 8€ (price of the ticket for one journey, in case of a return journey it will be 16€) on the account of Transport BE77 3100 8642 2642 by indicating in "comment" the name and first name of your child as well as the bus number and the date of use.
  2. Your child can come to the transport office with the money in cash. For Uccle, the duty hours are from 9.45 a.m. to 10.00 a.m. in the Erasmus building near the secretariat and for the secondary schools during break times at the transport office (under the concierge). For Berkendael, the duty hours are from 8.15 to 8.45 a.m. in the Transport office (building B - 2nd floor).

Except in exceptional circumstances, it is only possible to buy 2 tickets per month.

For Uccle this concerns children in nursery, P1 and P2:

  • Children from nursery, P1/P2 going to an OIB nursery have a departure at 12.35. In this case, the teachers take the children to the bus.
  • Kindergarten, P1/P2 children going home have a departure as usual at 4pm. However, in this case, the children must be registered at the Césame garderie (garderie@apeee-bxl1-services.be). The children are then taken to the bus by the Césame childminders.

For Berkendael, this concerns kindergarten children:

  • Kindergarten children at an OIB daycare centre leave at 12:35. In this case, the teachers take the children to the bus.
  • Kindergarten children going home have a departure as usual at 15.15. But in this case, the children must be registered:
    • Either at the OIB Berkendael nursery - if so, a member of staff will collect your child from the nursery and take him/her to the bus ! The transport service sends a form to parents in this case every week to check whether or not the child should be picked up. If there is no response from the parent to each form sent, the children will remain at the garderie OIB where the parents will have to collect them.
    • Either at the ACTIVE garderie or an extra-curricular activity. The children are then taken to the buses by the ACTIVE/ Extracurricular activities staff.

For the conditions of enrolment in the OIB after-school care centres and/or the extracurricular activities (Uccle and Berkendael), please contact the relevant departments directly.

SNOW/EXTRA SNOW ROUTES

The snow and extra-snow tours are published every year at the end of November or beginning of December. And are accessible via the secure page of our information site (! different than the registration/order site).

Transport triggers the snow circuits when there is light snowfall. In order to avoid any problems and to be able to run safely, some buses (very few) have their route modified.
The decision is taken by the Transport Manager, the day before at 6pm and the information is put online on the APEEE Services information website. This alternative route will then be automatically applied in the morning AND in the afternoon even if the snowfall was less than expected.

EXTRA SNOW CIRCUIT

Transport triggers the extra-snow routes when there is heavy snowfall and/or ice, making the roads really dangerous. In this case, all buses are restricted to the main roads.
The decision is taken by the Transport Manager, the day before at 6 pm and the information is put on the APEEE Services information website. This alternative route will then be automatically applied in the morning AND in the afternoon even if the conditions are less extreme than expected.

The snow/extra snow routes are published mid-November on the APEEE Services website.)
In order to avoid any clogging of the site on the day, Transport asks you to consult the snow/extra snow routes of your child(ren)'s bus and to print it in advance. This way, you will always have it at hand in case of need.

In order not to clog the Transport phone line, parents are asked not to call for information, except in case of emergency. Just check the APEEE Services website the day before after 6pm. If the circuits are activated a newsflash will inform you as soon as you arrive on the website.

From the moment that the transport company has activated the snow/extra snow circuits, they are active for 24 hours, regardless of the weather the following day.
It is possible that there is no snow in the north of Brussels, but that there is a lot in the south.
The situation is reviewed by the transport manager every 24 hours.

When the situation becomes too dangerous, the 4 transport managers of the European Schools consult each other and decide collectively whether to drive or not.
The message is then immediately published on the APEEE Services website.

TOGETHER SCHOOL - PARENT APP

This is most likely the case when you use a phone number that is not in the APEEE Services system. You can only log in if the number is known by the system so if you cannot connect, please check with the Transport Service, or update your number in your account.

If your phone number changes, you should update it in your APEEE Services account. Please make sure you enter it in the international format (starting with + country code). This information will then be synchronised overnight, and the next day you can log in, using your new phone number (in international format). You will have to go through setting your password, but you will be able to use the same one you used before.

There are two main reasons for this.

1) You will only see the bus listed in your child's official order for the day in question. Therefore, in the event of an exceptional change (we remind you that there are rules to be respected for change requests), you will not be able to follow the bus.

2) The supervisor has not started the application. This should be exceptional, but if you notice a recurring problem, you can contact the Transport Service to find out more.

The bus location is updated regularly, but at times there may be some delays. The device being used on the bus has likely lost coverage and the App is showing the last known location of the bus.  As soon as it reconnects, the location will be updated.

The location of the bus is usually very accurate but for various reasons, such as delays in the transfer of information from the phone to the system due to network issues, it should not be expected that it is fully accurate at all times. You should always be at the bus stop 5 minutes before the scheduled pick-up time.

Absence notification in the application is only used to report absences on the bus. We recommend that you report absences on the bus so that we can provide an efficient service, and that you do not wait for students who are absent. Notification of absence concerns the bus only. If your child is absent for daycare or school, please continue to follow their procedures.
